Privacy Policy

1. Who this policy covers

This Privacy Policy applies to visitors, account holders, and administrators who use ScholarPath Ormoc. ScholarPath Ormoc is an independent scholarship information directory for students in Ormoc City. This policy is written with regard to the Philippines’ Data Privacy Act of 2012 (Republic Act No. 10173).

2. Information we collect

The information collected depends on how you use the website:

• Account information: when you log in with email, Google, or Facebook, we may receive your name, email address, profile image, account identifier, authentication provider, and session information. We do not receive your Google or Facebook password.
• Profile and survey information: you may provide your location, education level, school, year level, multiple preferred courses or fields of study, and scholarship interests. Location may include your region, province, and city or municipality, as you provide them. We use these details to personalize recommendations.
• Saved items and notifications: we may store saved-scholarship records, notification preferences, reminder settings, and read or unread status.
• Support messages: when you contact ScholarPath Ormoc, we store your account details, message, timestamps, conversation history, and any optional support attachment so the team can respond.
• Scholarship activity: the website may record pages visited, scholarship listings viewed, search terms entered, and clicks to official provider pages.
• Browser and device information: hosting and analytics services may process your IP address, approximate location, browser or device type, referring page, page performance, and request timestamps.
• Local identifiers and preferences: ScholarPath Ormoc may store visitor and session identifiers, viewed-listing history, saved-item fallbacks, notification state, and interface preferences in local or session storage.

Do not send passwords, one-time codes, government identification numbers, banking details, medical information, or scholarship application documents through the message form.

3. How we use information

We use information to operate ScholarPath Ormoc, authenticate accounts, maintain profiles, save scholarships, provide reminders, personalize recommendations, respond to support requests, secure the website, measure useful content, diagnose errors, and prevent misuse. Authorized administrators may review account and survey details in a restricted student directory, filter audiences, add internal labels, assign scholarship recommendations, and export necessary directory fields for documented operational purposes. Exports and bulk changes are audit logged; they do not permit administrators to change your email subscription consent. Signing in subscribes accounts without an existing email preference to scholarship recommendation emails. You can unsubscribe or subscribe again in Account settings. We preserve your existing preference, including an unsubscribe, on later sign-ins. Recommendations use available scholarship fields and profile preferences. They are not automated eligibility decisions or guarantees.

We do not use your Google account to read Gmail, Google Drive, contacts, or other Google content. We do not use your Facebook account to post on your behalf.

Optional financial and academic profile

You may choose to provide a monthly household-income range, household size, and a completed academic average with its school, grading scale and period. These answers help authorized staff suggest a review priority using configured rules. They are optional, are not public reviews, and are not sent to AI providers by this priority feature. You can skip them or update them in your profile. A review priority is not a scholarship award, an official eligibility decision or a funding guarantee.

School classification comes from reviewed directory sources and does not prove enrollment. Income, academic results and enrollment remain self-reported until separately reviewed. Authorized administrators may record evidence decisions and manually change review priority with a private audit reason. Private survey drafts are stored in your account, not in browser localStorage. Deleting your account removes its private survey and related student records.

We measure coarse account and survey activity using a browser-session identifier, event name, placement and step name. These events do not contain your income, grades, household size, school search text or internal priority reasons. The reporting window is 30 days; scheduled maintenance removes this telemetry after 90 days.

4. Login with Google, Facebook, or email

Google and Facebook login are optional. When you choose either provider, it authenticates you and shares the approved basic account details with ScholarPath Ormoc through Supabase. Their processing is described in the Google Privacy Policy and Meta Privacy Policy. Supabase handles email credentials and account sessions when you use email login. Public scholarship browsing does not require login.

5. Analytics, cookies, and similar technologies

ScholarPath Ormoc uses Supabase-based event analytics, Vercel hosting and analytics, Meta Pixel, Facebook Login, and Facebook social plugins. These tools support authentication and measure page visits, searches, listing engagement, and website performance. They may use cookies, browser storage, IP-derived information, or device identifiers under their configurations and policies.

You can restrict cookies or clear website storage in your browser. This may sign you out or remove locally stored preferences, notification state, and saved-item fallbacks.

Student feedback and public reviews

Posting feedback is optional. If you choose Post feedback, your rating, comment, student-reported outcome, shortened display name, account profile photo when available, and review dates become public. Your email and private account details are not included. You can publish multiple posts and update or withdraw your own feedback. Visitors can open a public commenter profile linking your public posts under your shortened name and profile photo. It does not include your email, private survey answers, or account ID. Administrators can remove sensitive information, abusive content, spam, or other violations, and can explicitly restrict or restore feedback posting. Removal and restriction notices are delivered privately to your account. We keep limited removal metadata rather than retaining the removed comment in the moderation log.

We count visible signed-in time to offer an optional feedback invitation after about five minutes. Hidden tabs do not count. Choosing Helpful or Not helpful opens the feedback form; Not helpful asks what went wrong. Nothing is published until you explicitly submit the form with the public-posting acknowledgment. Your account stores dismissal and follow-up dates to avoid repeated invitations; you can close the prompt without submitting. Use Messages for private questions, and do not include contact details or sensitive personal information in a public review.

6. Service providers and sharing

We use service providers to operate the website:

• Supabase provides authentication, database, and server-side functions. See the Supabase Privacy Policy.
• Google provides optional Google account authentication.
• Vercel hosts the website and provides performance and usage analytics. See the Vercel Privacy Notice.
• Meta provides optional Facebook authentication, social plugins, and Meta Pixel measurement technology. See the Meta Privacy Policy.

These providers may process information on infrastructure outside the Philippines under their own terms and safeguards. We do not sell personal information. We may disclose information when required by law, to protect users or the service, or during a legitimate transfer of responsibility for operating ScholarPath Ormoc.

Opening an official provider link sends your browser to that provider. ScholarPath Ormoc does not send your profile or saved-scholarship data to a provider merely because you viewed its listing.

AI scholarship comparisons

When you ask the comparison assistant a question, Google Gemini processes the selected public scholarship records and your question. Personal-fit questions can also use relevant account study details (education, course, school, city or province) and study details you share in the conversation. Do not include contact details, identification documents, passwords or sensitive information.

Backup processing by Groq and OpenRouter is optional and off by default for chat. If you enable it under AI privacy options, your question, conversation history and relevant study details may be processed by approved backup providers when the primary provider is unavailable. You can turn it off for future requests. Published scholarship summaries and official-page extraction may use approved backups without account profile information. Automated contact-detail redaction reduces accidental disclosure but cannot identify every kind of personal information.

Provider retention, unpaid-tier data use and processing outside the Philippines depend on their current terms and account settings. Review Gemini API terms, Groq privacy information and OpenRouter privacy information. Backup providers remain disabled until their model, cost and privacy settings have been reviewed by the website owner. ScholarPath does not forward authentication tokens or private account identifiers as AI context. Chat recovery stays in your tab for up to one hour; server response caches last up to 15 minutes within a function instance. Technical logs exclude conversation and profile contents.

7. External scholarship websites

ScholarPath Ormoc links to official scholarship providers and other third-party websites. Their forms, accounts, cookies, and data practices are outside our control and are governed by their own privacy notices. Review the destination before submitting personal information or documents.

8. Retention and security

We retain information only while reasonably needed to provide accounts, saved items, recommendations, notifications, support, security, dispute resolution, and legal compliance. Deleted information may remain temporarily in backups or security logs where permitted by law.

We use access controls, authenticated sessions, restricted administrator permissions, and managed service providers to protect information. No internet service can guarantee absolute security. Keep your password, login links, and credentials private.

9. Your privacy rights

Depending on the circumstances, you may ask to be informed about processing, access your information, correct inaccurate information, object to certain processing, request erasure or blocking, obtain portable data where applicable, or raise a complaint. The National Privacy Commission explains these data subject rights. Some requests may be limited when information must be retained for security or legal reasons.

10. Children and younger students

ScholarPath Ormoc is intended to help students, including younger students, find public scholarship information. A parent or guardian should assist a minor with account or inquiry features when appropriate. Do not use the message form to submit sensitive personal information or application documents about a child.

11. Requests and contact

To ask a privacy question or request access, correction, or deletion, email support@scholarpathormoc.online. Describe the request clearly and identify the email address connected to your ScholarPath account. We may need to verify your identity before acting on a request.

12. Changes to this policy

We may update this policy when ScholarPath Ormoc features, service providers, or legal requirements change. The date at the top will show when the latest version took effect. Material changes may also be announced on the website.
